Set your preferred account identifier and user identifier

If you're tired of seeing “user-10s9-29b3-1r47-d20e” and “group-17430283” while looking at reports and tables throughout Appcues, and you would rather see the user “John Doe” and company “Acme Co.” you are going to want to set your preferred user and account identifiers within the Data Management settings.

  • Account Identifier: The group property you want to display throughout Appcues, anywhere we are showing information about a particular Account/Company/Group
  • User Identifier: The user property you want to display throughout Appcues, anywhere we are showing information about a particular Person/User

Why would I want to set up my preferred account and user identifiers?

When you install Appcues for the first time, we allow a great deal of flexibility in terms of what type of properties you send us. We only require one user property to identify users (userID), and one group property to identify accounts (groupID).

Since the userID and groupID are the only properties we can use to uniquely identify which user or account you’re looking at, these properties have to be used as the default displays for showcasing users and accounts.

More often than not, when you're looking you would prefer to see something like “Full name” to understand which user you’re looking at, and something like “Company name” to understand which account you’re looking at.

The Accounts & Users settings page will allow you to define which properties you want to display throughout Appcues to identify your accounts, so you can quickly and easily understand which accounts and users you’re looking at.

Your data can go from looking like this…

…to something like this:

How do I set my preferred account and user identifiers?

Navigate to Settings > Data > Accounts & Users

Note

Only Admins can edit this global setting. If you are an Editor or Publisher, navigate to the Settings > Team page to find an Admin on your team, and ask them to help you update this setting. Only Admins are allowed to edit this field, as this setting will populate throughout the entire Appcues product for all members of your team.

If you are an Admin, you will see an Edit button in the top right corner. Click Edit.

Setting the Account Identifier

If your Appcues account is not sending any group data (company-level data), this will not be applicable to you. If you are a B2B company, and you deal with groups of users that form a larger Account/Company/Organization, we would encourage you to start sending group data in to Appcues to get the most out of your experience, and to be able to better target your messaging based on company properties, such as plan tier, MRR, renewal date, etc.

If your Appcues account is sending in group properties, you will see all of your group properties listed within the Account identifier dropdown. By default, your Account identifier will be set as Group ID. We encourage you to select a property like Company Name, or Account Name, so you can quickly identify which account you’re looking at throughout Appcues reporting.

Setting the User identifier

Within the User identifier dropdown, you will see all of your user properties listed. By default, your User identifier will be set as User ID. We encourage you to select a property like Full Name, or User email, so you can quickly identify which user you’re looking at throughout Appcues reporting.

Once you have made your selections, be sure to click the Save button at the top right corner. Once you click Save, these changes will apply to all your team members across your Appcues account. If you don’t want to save your changes, you can click Cancel.

Once saved, the dropdown selectors will be locked again, until you click the Edit button again. You shouldn’t need to edit this setting often, as these main properties are not likely going to change.

Where will these identifiers show up in Appcues?

User Identifier

The user property that you have selected as your user identifier will populate in the following places throughout Appcues, replacing the UserID:

  • Users page (list of all users)
  • User profile header
  • Recent users list on homepage
  • Account Profile > Users tab
  • Flow analytics:
  • Recent users table
  • Survey response table
  • Pin analytics > recent users table
  • Banner analytics > recent users table
  • Events Explorer > Single Event Metric users table
  • Individual segment > recent users table
  • Individual goal > recent users table

Note

If the user property you selected as your user identifier doesn't have a value present for a given user, this will display as a null value in reporting. For example, if you selected “Full Name” as your user identifier property, but user 123c-df02-2xz7 doesn't have a corresponding “Full Name” value, it will appear as a null value in that user's table record.

Account Identifier

The group property that you have selected as your account identifier will populate in the following places throughout Appcues, replacing the GroupID:

  • Accounts page (list of all accounts)
  • Account profile header
  • Recent accounts list on homepage

Note

If the group property you selected as your account identifier doesn't have a value present for a given group/account, this will display as a null value in reporting. For example, if you selected “Company Name” as your account identifier property, but group 572026 doesn't have a corresponding “Company Name” value, it will appear as a null value in that group's/account's table record.
